We ask you to comply with the spirit of the following standards with regard to contributions submitted by you to us.  They must:

  • Be genuinely and reasonably held (where they state opinions).

When you add comment to our website, we will ask you to tell us: your name, address and telephone number.  Your story/experience/information will be completely anonymous should you request this, otherwise your first name and town where you live will appear, for example, “Janet, Chelmsford”, or your full name, and the town where you live.  The choice is yours to make and will be respected by WhereIsTheCare.  All other personal details will not be used publicly: it is so that we know at WhereIsTheCare who you are and can contact you in case of a query over your submission.

By submitting a story on our website or in writing to us, you are agreeing to have this appear on our website publicly.  If you do not supply to us a name, address and telephone number, then your story/experience/information will not appear on the website.  Other than as noted above regarding your personal details, it is at WhereIsTheCare’s absolute discretion whether or not your story/experience/information appears/is published on our website, and, if so, which part or parts of it.  We always aim to act in a non-misleading, responsible, fair, open and honest manner.

Your personal stories and experiences will be monitored closely before publishing on our website: they will not be published real-time and any potentially defamatory information, as so deemed by WhereIsTheCare, for example, names, may be removed by us. You are agreeing to these conditions when you submit a story/experience/information.  This applies also to any material which is contributed to our site.

Use of the Website/Emails and Viruses

We have checked our site for viruses, but the contents of any downloadable document or attachment to an email from us may still contain software viruses, which could damage your computer system. We do not accept liability for any damage you sustain as a result of a virus introduced by this website or any downloadable document or attachment to an email from us, and you are advised to use up-to-date virus-checking software.

Through this website you are able to link to other websites which are not under the control of WhereIsTheCare. We have no control over the nature, content and availability of those sites. The inclusion of any links does not necessarily imply a recommendation or endorse the views expressed within them.

Every effort is made to keep the website up and running smoothly. However, WhereIsTheCare takes no responsibility for, and will not be liable for, all of any part of the website being temporarily unavailable due to technical issues or issues beyond our control.

We will never sell your personal details to third parties for marketing purposes or pass on your details in any way, unless for some reason this is beyond our control or unless requested by you.  Note: This privacy policy only applies to the information that we hold about private individuals, not about companies and other organisations.

Data Protection Act 1998

Personal data gathered is accurate, kept up to date and deleted when no longer need. We have written consent to use sensitive information that relates to ethnic origin, personal beliefs, health and so on as per received instructions to appear on our website.

All personal details collected are proportionate and only what we need.

All contact information for WhereIsTheCare.co.uk and conditions are clearly informed on our website and on the submission forms completed.

Data Security

Any personal information we store on computers or in paper files are only  accessible by people with permission to see it. We will not pass it to other organisations unless for some reason this is beyond our control or unless we have permission to do so.

All our computers are individually password protected.

Paper files are kept under lock and key or stored securely off site.  All staff and volunteer helpers know they must not discuss information about our contributions/clients with people who are not allowed to access it.

Data Rights

Contributors/customers have the right to see any information we hold about them. We charge £10 for handling requests and we will deal with them within 40 days. Contributors/customers can demand corrections and instruct us not to use their details per se or for any reason other than the information was collected for.

Staff and volunteer helpers are allowed to view their personal files, including documents relating to disciplinary matters. We are not allowed to pass information about an employee to anyone unless we have their consent. If either constributors/customers, staff or volunteer helpers feel we are in breach of the Act, they can complain to the Information Commissioner’s Office (ICO).
